Office Administrator

Church of the Master United Methodist seeks an Office Administrator to work 30 hour per week (Monday-Friday, 8:30 am - 3:00pm or 9:00 a.m. – 3:30 p.m. including a 30 minute lunch)

This position reports to the Senior Pastor. All candidates must be fully vaccinated in order to be considered.

Experience and Qualifications:

A high school diploma or equivalent degree. 
Must pass a background check and be willing to be “Safe Sanctuary” certified.
Knowledge and proficiency in managing social media platforms and website required.
Willingness to learn and to problem solve.
Ability to work both independently and under the supervision of the pastoral staff.
Detail oriented. 

Two or more years of clerical, secretarial, and/or administrative experience strongly preferred.
Exceptional knowledge of Microsoft Word, Publisher, PowerPoint, Excel, Outlook, Canva, Mailchimp and other publishing and communications platforms.
Knowledge of and proficiency in basic database systems, experience with Church Management Software systems preferred. 

General Provisions:
Demonstrates ownership of the congregational mission to Love God, Grow in Christ, Live to Serve, and supports congregation and staff goals towards fulfillment of that mission.
Have access to the Staff/Parish Relations Committee (SPRC) via her/his liaison.
Read and agree to the Church of the Master Employee Handbook. 

Regular Duties:
Welcome people to Church of the Master with warmth and kindness in presence at the desk, over the phone, and by email.
Check mailbox(es) daily and distribute mail as required.
Prepare agenda, reports, and attend weekly staff meetings; take notes, minutes, and report out to appropriate persons, and maintain for church records.
Prepare worship bulletins for Sunday’s services and special services as required. Order of Worship will be supplied by the Senior Pastor/Worship Staff, and the Senior Pastor shall view a copy of the bulletin for final editing before printing.
E-mail announcements for each week to the to responsible person who creates slides on Pro-Presenter for Sunday worship.
Ensure worship and other attendance is tracked and entered in database based on Weekly Connection Cards, updating contact information, etc., as needed, in coordination with Membership Secretary.
Maintain Church Calendar on Church Management Software.
Manage and regularly update church website, and coordinate social media accounts in coordination with other staff designated as ADMINS.
Facilitate inquiries about building use (and update calendar in consultation with the Facilities Manager, Trustees, and Senior Pastor).
Send email reminders/agenda/reports regarding committee/team meetings.
Maintain well organized files, both hardcopy and digitally.

Coordinate altar flower calendar, keeping information up to date in the bulletin and ordering flowers for worship, special worship service, seasonal events, etc. (e.g. Easter lilies and Christmas poinsettias)
Prepare monthly newsletter (print, email, and online) so that it is available for viewing on the 1st of each month. Gather, screen, and format information for easy communication to the congregation.
Keep pastoral staff updated on pastoral care issues/hospitalizations, etc., that are reported to the office and coordinate the pastoral/lay visitation schedule in coordination with Congregational Care Coordinators/team (monthly).
Refresh and maintain bulletin board(s) regularly, in coordination with other ministry leaders/staff.

Prepare, collate, and submit data to the district office for yearly church/charge conference (typically fall) and end of year reports (January.
Serve as Secretary for yearly church/charge conference and for Administrative Council (quarterly). Provide consistent organization of digital and hard copy files for all church documents/records.
Work with Senior Pastor during the Spring of each calendar year on Lay Leadership/Nominations Committee work.
Participate in the evaluation/review process as outlined and approved by the Staff Parish Relations Committee. 

As Needed-
Coordinate funeral meals as needed and desired by families, in coordination with Facilities Manager, staff, and Congregational Care Coordinator/Team.
Order office, janitorial, and worship supplies as needed, within budget provided.
Other duties as assigned.

Vacation and sick time will be granted in accordance with the Employee Handbook and the United Methodist Book of Discipline. Holidays recognized by Church of the Master are:
